HELVETAS - Vacancy Announcement - Team Assistant Eastern Europe & Central Asia (80-90%)

For our office in Bern we are currently looking for a Team Assistant Eastern Europe & Central Asia (80-90%). The team assistant supports the Eastern Europe Unit and the Central Asia Programme Coordinator of Helvetas based in Bern and the projects and programs in the region.

Main Tasks

Your main duty is to coordinate the Eastern Europe and Central Asia teamwork and to support the projects and programmes in the region. You arrange meetings, support the teams in all administrative matters and organize visitors stay as well as study tours. You are responsible for donors’ and consultancy contract administration and monitoring, including cost compliance. You also directly assist, and backstop projects and country programmes related to organisational and administrative issues, including also safety and security requirements. You support the team and the country programmes in acquisition and fundraising matters, including contributions to the writing, editing and accurate submittal of offers. To update our intranet/website of the responsible countries is also part of your portfolio, in coordination with the projects and country programmes.

 

Your Qualifications

A diploma as eidg. Kauffrau / Kaufmann (eidg. KV) or similar, several years’ experience in an administrative environment, preferably even in a development cooperation organisation. Fluent oral and written English language skills are mandatory, as well as good German and/or French knowledge. Any other languages e.g Russian, Serbo-Croat or Albanian would be a plus. In addition, you have excellent knowledge of the MS Office products in particular for editing documents and presentations and to be able to support other users in the application of the tools. You are service-oriented, able to work independently and in teams. You remain calm also in hectic situations and you keep track of all duties and priorities. Excellent oral and written communication skills incl. intercultural competences are required.
